Application

 

ARTICLE III.
OFFICER REQUIREMENTS

1. All officers shall have a cumulative grade point average of not less than 2.5. The Greek
Advisor shall
verify the grades of all candidates.
2. The President must have been a Panhellenic delegate, Panhellenic Executive Board
member or Chapter
Executive Officer for at least one semester.
3. No Panhellenic Executive Officer may serve as an Executive Officer of her Chapter during
concurrent terms.
4. All officers are required to attend all Panhellenic Council, Executive Board and any
emergency meetings
that may arise. Failure to do so may subject officers to be reviewed by the Greek Judicial Board.
5. All officers are required to hold two office hours each week.
6. Any officer failing to perform her duties as outlined shall be reviewed by the Executive
Board and may be
placed on one month probationary status. After a one-month probationary period, the case shall be reviewed again by the Executive Board and a recommendation made for their continuation or discontinuation in office.
7. The Membership and Assistant Membership Chairs may not be members of the same
Chapter.
8. All officers must be active members in good standing in their individual Chapters and
remain in good
standing while in office for the National Panhellenic Council of the University of Wisconsin- Madison.
9. Only two Executive Board officers serving concurrent terms may be from the same
Chapter.

ARTICLE IV.
OFFICER DUTIES

1. PRESIDENT
A. Have an overall responsibility for the operation of the Panhellenic Council.
B. Call and preside at all regular and special meetings of the University of Wisconsin-
Madison Panhellenic
Association and the Presidents' Congress meetings.
C. Preside at all regular meetings of the Panhellenic Council and call and preside at its
special meetings.
D. Call and preside at all meetings of the Panhellenic Executive Board.
E. Review, approve and sign all Panhellenic Association contracts involving the University
of Wisconsin-
Madison Panhellenic Association.
F. Serve as a member ex-officio of all Panhellenic Council Committees with voice but not
vote.
G. Report as required to the National Panhellenic Conference Area Advisor.
H. Maintain a complete and up to-date President's file which will include a copy of the
current University of
Wisconsin-Madison Panhellenic Association Constitution, Bylaws and Standing Rules; the current Panhellenic Association Budget; the current NPC Manual of Information and related materials, current correspondence and materials received from her NPC Area Advisor; her copies of the College Panhellenic Reports to the Area Advisor and other pertinent materials.
I. Organize and run the officer training and transition workshops in the fall semester after
elections and also
in January after the installation of new officers.
J. Be the key liaison for a colonizing Chapter.
K. Review the University of Wisconsin-Madison Panhellenic Association Constitution and
Bylaws annually with
the Vice President.
L. Perform all other duties usually pertaining to this office.
M. Coordinate speakers and guests to Panhellenic Council Meetings.

2. VICE PRESIDENT
A. Perform the duties of the President in her absence, inability to serve, or at her call.
B. Serve as the liaison between the Panhellenic Council and the Greek Judicial Board, All
Greek Council,
National Pan-Hellenic Council, and Interfraternity Council.
C. Assist in reviewing and revising the Panhellenic Association Constitution and Bylaws
annually with the
President.
D. Be responsible for correct use of parliamentary procedure at all Panhellenic meetings.
E. Perform all other duties usually pertaining to this office.
F. Plan and oversee Greek Week, the Progressive Dinner, and Panhellenic Sisterhood
events. This includes,
when applicable, finding sponsors, interviewing candidates for committees, and distributing information.

3. ADMINISTRATIVE COORDINATOR
A. Be responsible for the general supervision of the finances of the University of
Wisconsin-Madison
Panhellenic Association. This shall include maintenance of up to date financial records and regular budgetary reviews of all offices with that particular officer.
B. Be responsible for the preparation of the Annual Budget in the fall and, following its
approval by the
Panhellenic Council, for providing a copy to each University of Wisconsin-Madison Panhellenic Association member fraternity.
C. Receive all payments due to the Panhellenic Association, collect all dues, and give
receipts.
D. Be responsible for the prompt payment of all bills of the University of Wisconsin-
Madison Panhellenic
Association
E. Handle all recruitment registration and money during Recruitment in conjunction with
the Membership
Chair.
F. Be responsible for filing the IRS tax return for the year.
G. Give out fines for missed meetings.
H. Keep a current list of all members of the Panhellenic Council and call roll at all
meetings.
I. Keep a current list of all Panhellenic Officers and Chapter Officers of the member
fraternities.
J. Keep current statistics concerning the number and names of initiated and new members
of each
Panhellenic Association member fraternity.
K. Keep full minutes of all meetings of the University of Wisconsin-Madison Panhellenic
meetings. Report
this information, monthly, to the NPC advisor.
L. Maintain a complete and up-to-date file which will include the minutes of the meetings
of the University
of Wisconsin-Madison Panhellenic Association.
M. Be responsible for official correspondence, to include thank you notes and Founder's
Day flowers.
N. Coordinate the Panhellenic office hour schedule.
O. Be responsible for general office maintenance and supplies.

4. SCHOLARSHIP CHAIR
A. Assist in scholastic report procedures.
B. Revise and maintain a Panhellenic Scholarship program.
C. Organize and chair the committee that selects the women who will receive the
Panhellenic Scholarships.
D. Plan and organize the All Greek Awards Banquet and oversee the awards process.
E. Work closely with the National Order of Omega.
F. Educate members of the Panhellenic Association about Multicultural issues and events.
G. Serve as representative to the All Greek Council.
H. Design a booklet of tutorial tips and scholastic information for every new member.
I. Distribute scholastic standing reports.

5. MEMBERSHIP CHAIR
A. Share responsibility with the Assistant Membership Chairs for organizing and
conducting formal
Recruitment in accordance with NPC Unanimous Agreements and Recommendations.
B. Be responsible for working with the University of Wisconsin-Madison to plan the
Recruitment schedule.
C. Discuss with the Recruitment Chairs from all Chapters formal Recruitment as it currently
occurs on our
campus. Together this committee, under the guidance of the officer and Assistant Membership Chairs, propose changes for the upcoming Recruitment.
D. Update the campus College Panhellenic Standing Rules for Recruitment on an annual
basis.
E. Conduct informal Recruitment if necessary at the request of any Chapter.
F. Work with the Greek Advisor to select the most appropriate quota total setting method,
after consultation
with the NPC Area Advisor and campus Chapters.
G. Coordinate the activities of Panhellenic officers as their duties relate to Recruitment.
H. Help campus Chapters with continuous open bidding and snap bidding in accordance
with NPC
Unanimous Agreements and Recommendations.
I. Distribute and analyze evaluations given to all Chapters and Potential Members
following formal
Recruitment.
J. Live in Madison for the summer during her term in office.
K. All checks issued on behalf of the University of Wisconsin-Madison Panhellenic
Association's membership
account shall be issued by approval of the Administrative Coordinator, President or Membership Chair.

6. COMMUNITY SERVICE CHAIR
A. Act as a liaison between fraternities, sororities, the Panhellenic Association, the National
Pan-Hellenic
Council, and Interfraternity Council to disperse community service and philanthropic information and increase cooperation in these efforts.
B. Act as a liaison between the Greek community, the campus and the Madison
community. This includes
any organization wishing to speak or provide information at Panhellenic meetings on behalf of their philanthropic or service cause.
C. Schedule two meetings per semester of Chapter Philanthropy Chairs for the purpose of
exchanging
information, increasing cooperation, and improving communication.
D. When necessary, hold joint Panhellenic and IFC Philanthropy Chair meetings to discuss
upcoming
philanthropies involving both sororities and fraternities.
E. Compile a list to be distributed at the beginning of each semester detailing each
Chapter's philanthropy. It
should include the date, possible time commitment, entrance fee, and event.
F. Oversee at least two major philanthropies throughout the year involving the Greek
community and assist
the Vice President with Greek Week community service programming.
G. Present philanthropic or community service "Organization of the Week" at Panhellenic
Association
meetings.

7. RISK MANAGEMENT CHAIR
A. Meet twice a semester with all sorority Social Chairs and Risk Management Chairs.
B. On a weekly basis, review the social contracts submitted to Panhellenic/IFC Officers.
Keep accurate records
and file infractions when necessary.
C. Design an education program to educate Social Chairs and Presidents about correct
party policies and risk
management.
D. Keep up to date copies of each Chapter's social policy.
E. Work closely with the Vice-President, Greek Judicial Board, and Social Chair when social
infractions arise.
F. Organize New Member programming on relevant risk management topics.
G. Conduct a meeting with Presidents and New Member Educators each semester
consisting of new member
education and hazing issues.

8. PUBLIC RELATIONS CHAIR
A. Coordinate the public relations program for the Panhellenic Association. This program
is to include
issuing press releases, developing contacts with local media outlets, and serving as the liaison for communications between the Panhellenic Association and the campus student body, university personnel, and the larger community.
B. Maintain and update the Panhellenic web page, and similar publications, including
newsletters.
C. In consultation with the Membership Chair, select appropriate recruitment themes and
graphics.
D. Produce and distribute publications promoting any Panhellenic activities and events.
E. Revise and update Recruitment publications, including information sent to prospective
members.
F. Coordinate the Public Relations Committee and related efforts.

9. Any officer failing to perform her duties as outlined shall resign and a successor be designated by election (selection). An officer resignation may be requested or an expulsion made by a three-fourths
(3/4) vote of the
University of Wisconsin-Madison Panhellenic Council upon recommendation of the Executive Board.

ARTICLE V.
THE EXECUTIVE BOARD

The Executive Board shall:

1. Appoint all Standing and Special Committees and, in making those appointments,
recognize
representation from different member fraternities.
2. Administer routine business between meetings of the Panhellenic Council and such
other business that
has been approved for action by Panhellenic Council vote.
3. Report all action taken by the Executive Board at the next regular meeting of the
Panhellenic Council and
record the action in the minutes of that meeting.
4. The Executive Board shall meet regularly not less than once a week at a time and place
determined by the
members of the Executive Board.
5. During Executive Board meetings there must be a quorum of members present to
conduct any business.
